Plan port supply around vessel and receiving windows; include waiting and final transfer in the shipment chain.

Shipment timeline

Record vessel and voyage, order/lot, product conditions, quay-entry confirmation, vehicle arrival and loading times, delivery point and onboard recipient. Keep planned and actual times distinct; note changes in queue, security or access.

Transfer product-document conditions and customer acceptance or measurement instructions into the loading plan. If using a logger, state ID, calibration evidence, position and coverage. Carry mixed product classes only under approved packaging and separation instructions.

For delay, damage or rejection, segregate the affected line and retain handover forms, photos and measurement data. Document substitution and acceptance decisions with the ship recipient, supplier and responsible quality contact.
