A deposit decision requires tracking container movements as well as money. Before choosing a system, define how customer-level issues, returns and open balances will be recorded.
Set up a movement ledger
Record customer code, container ID or type, issue date, return date and outstanding quantity. Link the financial deposit entry to the same delivery reference.
Compare effort and loss. At period end, compile outstanding containers, reconciliation time and customer disputes. Assess them alongside replacement cost and customer feedback during the sales process.
Pilot alternatives on a small scale. Trial the record flow for a deposit, contractual loss charge or pool model with a limited customer group. Track collection, return, open balance and operational errors consistently.
Verify accounting and contract treatment with the organization's specialists. After the trial, document which model is traceable and workable.
