Do not treat the total equipment payment as one cost item. Separate pro forma and invoices into goods price, freight, insurance, customs, domestic transport, installation, training and exchange difference.
Each document should show seller, payment date, currency, delivery term and associated equipment. Ask the seller to complete missing documents or unclear service descriptions.
Tax, VAT and accounting classification can depend on company type, transaction location, delivery terms and current rules. Before the transaction, obtain item-by-item written advice from your accountant.
In the investment budget, use separate columns for cash outflow, capitalization and recoverable tax; attach the basis and adviser approval for each classification.
Reconcile order and invoice records against the model and accessories received. File later exchange or installation differences separately from the initial quotation.
