A destruction decision and waste-disposal activity require different records. Before routing product for disposal, reconcile the quality disposition, lot and physical quantity; select the waste route under organizational procedure and local requirements.
Build the destruction file
Record product name and presentation, lot, quantity, expiry date, reason, temperature-excursion file and date of the written decision. Identify the decision-making role and the waste contractor or internal process receiving the product.
Reconcile handover and stock movement. Keep identifiers with the container during packing or handover. Compare the pre-disposal quantity, handover document and stock-system adjustment; resolve any difference with an explanation and approval.
When complete, file the work order, handover evidence and any disposal certificate together. Verify retention period, responsible role and disposal method against current organizational procedures and applicable requirements rather than assuming a universal rule.
