Reconcile container IDs with warehouse records

Assign each returnable container one ID; reconcile its location against shipment and movement records, then resolve mismatches by count.

Short answer

Assign each container a persistent ID and use the same ID, receiver, time and status in shipment records. Do not assume automatic system matching: reconcile recorded scans with a physical count, assign missing or duplicate entries to an owner, and retain the correction trail.

To reconcile a container pool with software, the field ID and the shipment record must refer to the same physical item. Whether the WMS uses an equipment record, handling unit or shipment field depends on the installed setup.

Define the ID and event fields

Keep the readable container number separate from a product or shipment code. For dispatch, return, washing, maintenance and damage events, record the container ID with time, location and status.

Reconcile records with a physical count

For a sample shipment, compare the scan list with delivery paperwork and containers on site. Put missing, duplicate or unreadable IDs on an exception list; record who corrected each item and the evidence used.

Trial the process first with manual records or an export. Show WMS connectivity, automatic reading or asset tracking as available only when confirmed in software and hardware documentation.
