For a reading to be useful, link it to a container and run, send it to a named recipient and make it retrievable when needed.
Set the record chain
| Step | Owner and record |
|---|---|
| Reading | Assigned person, time, device |
| Handover | Shift recipient, acknowledgement |
| Archive/deviation | Procedure owner and channel |
Make handover visible
Tie the form to the run, not the vehicle. At shift end, check that it has reached the designated physical point or system.
Minimum matching fields
- Container and run ID
- Date, time and measurement point
- Device ID and data file
Use the local quality procedure for the recipient and notification time for an out-of-range record; do not assume one interval suits all operations.
Limits of a photo
A photo can support the record; container, run and measurement details still belong in the record. Transfer the image to the authorised filing location.
Do not edit an incomplete or unusual reading to make it disappear. Refer it to the procedure owner.
Retention and access. Confirm retention time from contract and current company procedure; do not state a universal period.
Record the handover date and recipient when transferring a form or file.
Handle a missing reading
If no reading was taken, record the known reason at the time. Do not create data later by guessing.
