An event plan treats the kitchen, vehicle and service area as separate stages; risk often appears at the handovers. There is no fixed “safe waiting time”: the menu, starting conditions, transport and venue all matter.

Plan backwards from service. For each food group, record preparation finish, loading, handover, placement at service and first serving time. At every handover, name who accepts the food and who records the measurement.

Carry hot and chilled foods in separate spaces. Use an insulated carrier tested for the route and expected wait, and avoid unnecessary openings. A measurement suited to the food’s own storage conditions is more useful than measuring only the air in the vehicle or container.

A useful field record

Keep food group, measurement point, time, result, carrier or vehicle ID and handover person on one form. If service order changes, record the new wait and tell the responsible lead. The record shows which transfer or waiting step to improve at the next event.
