An export file is not one universal cold-chain certificate. Product, vehicle and journey records show different things; required paperwork may depend on destination, product and transport mode. Agree the document list with the buyer and relevant authority when confirming the order, not on loading day.

Check product and vehicle documents separately

Match any required product health or conformity document to the product name, lot and establishment in the order. Check an ATP certificate only when the transport and route fall within ATP scope; it does not replace product health approval. Confirm storage and carriage targets from the product specification.

Link the trip record to the lot. Put loading and arrival times, lot ID, logger ID and the temperature file location in the same shipment record. Attach a device conformity or calibration document if required; a graph alone does not prove the device was accurate.

Complete the file before departure

For every document, record its source, owner and check date on a checklist. Stop and resolve missing or mismatched lot details before dispatch. Keep records in a shared folder searchable by lot ID; do not rely on the driver’s folder as the only copy.
