An inventory discrepancy alone does not prove theft. Open each loss case with serial ID, last verified location, and handover record; investigate pending return, branch transfer, and scan error.
Record the last person to see or receive the unit, date and time, route or branch, customer confirmation, and search actions. Keep separate statuses for not located, late return, and confirmed theft.
Review recurring losses by site, shift, and empty or loaded status. Assess lighting, access logs, secure storage, cameras, or anchoring against local risk and facility rules; do not assume a measure guarantees an outcome.
For a confirmed incident, verify notification steps, timing, and required documents under the policy and customer or carriage contract with the insurer or authorised adviser. Keep versions of the incident report, inventory list, and images.
