Phasing a purchase across two financial years is not automatically an accounting or tax treatment; available options depend on the organization and contract.
Ask finance and accounting when order approval, payment, delivery/acceptance and asset recording occur. Do not assume an expense can be allocated across years without expert confirmation.
Agree batch quantities, each delivery window, price and quote validity, cancellation/change conditions, freight and installation charges with the supplier. State explicitly whether the second batch is held as an option.
Fix the technical schedule: model, revision, base, shelf/plate arrangement, accessories and approved drawing. Do not assume the second batch will be identical or parts interchangeable without manufacturer confirmation.
Compare both scenarios by total cash flow and duplicated fixed costs; split the order only after the budget owner, accounting and supplier terms are approved.
