Base transport audit preparation on site scope and actual shipment evidence, not on a memorized clause list.
Confirm scope and version. With the quality owner, confirm certificate scope, audited activities and the current version of the applicable BRCGS or IFS document.
Quote clause or evidence expectations only from current official documents; do not assume the same requirement for every site.
Trace one shipment end to end
Start with the order and product conditions, then follow carrier approval, vehicle and container acceptance, cleaning check, loading, measurement, delivery and customer receipt records.
At each step show the record, date, responsible role and where it is stored.
Prepare a deviation example too
If available, gather one real deviation's initial report, product hold, assessment, corrective action and closure evidence in one file.
For subcontractors, match approval, scope, responsibility handover and performance review records to the actual supplier process.
For returnable containers, include cleaning and traceability evidence under the site's own procedure.
Do not present missing evidence as if it were created at the time; state the record and correction dates clearly.
For current clause interpretation, use official standard publications and confirmation from the certification body.
