Preparing for a supplier audit means checking the trace of a real shipment, not only the procedure file. The goal is to see whether product, measurement, equipment and delivery records connect to the same lot within the customer's audit scope.

Trace a file backwards

Select a recently delivered lot. Follow its lot or product code through the order, loading time, temperature readings taken, transport container and delivery evidence. Compare dates, times and responsible-person details across each record.

Log gaps separately

If a record is missing, do not recreate it retrospectively. Describe the missing link separately from any possible product impact; assign an owner and completion date. Check with a sample task that staff practice matches the written instruction.

Use the customer's current audit scope for the final review. Evidence from another product or transport setup does not automatically validate the lot under review.
