A run that appears to have no file cannot be explained until the lists are matched; record the missing measurement separately.
Matching keys
Compare the planned run list with the file inventory by container, run date and vehicle ID. Record the identifier format used at the site.
Order of checks
- List planned runs for the period.
- Inventory downloaded files.
- Match IDs and dates.
- Put unmatched items on an investigation list.
- Link findings to evidence and an owner record.
Investigate the cause
A mismatch may involve starting, download, transfer or file readability. Check relevant records for each; a pattern alone does not prove its cause.
Record the next run. Add device ID, run ID and observed evidence of starting to the pre-departure checklist; do not assume a particular button or device behavior.
Monthly close
Do not remove a run with no file from the list. If download or matching is completed later, preserve the original finding, correction time and evidence in the audit trail.
Report unresolved runs as missing measurement; do not conclude that temperature was normal or out of range.
