Which data to start with for a small fleet carbon account

At the start, document period and boundary: which vehicles and trips, and whether refrigeration units and subcontractors are included. Link fuel receipts to vehicle IDs and odometer/telematics distance; if transport work is reported, add shipment load and route distance. State factor sources and uncertain inputs. For a small fleet, first define a measurable boundary and data owners rather than choosing software.

Define scope on one page

State period, vehicle list, owned and subcontracted trips, whether depot/refrigeration energy is included, and reporting unit. Note what is excluded.

Link fuel receipts to vehicle ID, date and litres; link distance to odometer or telematics. If reporting per shipment or tonne-kilometre, verify load and route distance separately. Record the emission factor with its source and applicability boundary.
