Short answer

First confirm with the inspecting authority which checklist applies to your activity and vehicle class. Match vehicle identity, cleaning, damage, equipment maintenance and measurement records with dates and owners. Trace one shipment through lot, vehicle, device and delivery records; do not assume a requested document is outside scope.

For inspection preparation, first confirm which authority checks which activity and vehicle. Verify the Provincial Directorate of Agriculture and Forestry's role through the inspection notice or application; do not assume identical conditions apply to every vehicle.

Show vehicle condition with records

Record the vehicle or container ID and dated observations of interior surfaces, cracks, residue and load arrangement. If there is a defect, link its photo and corrective action to the same record.

Track equipment and measurement

Identify the model of cooling or insulated equipment, its maintenance status and cleaning owner. Link the measuring device ID to shipment records; confirm product targets in the applicable product instruction and authority checklist.

Test the file with a sample shipment

Trace one lot from loading to delivery and locate vehicle, cleaning, measurement, deviation and correction records. Ask the inspector to confirm missing record formats and due dates in writing.
