When pre-cooling conditions are not met, base the decision on measurement and product requirements; do not assume the vehicle unit will necessarily cool the load.
Hold dispatch first
Record product type, lot and loading measurement; do not combine warm product with an unsuitable load.
Compare against product conditions
Compare the reading with current product acceptance conditions and the approved site instruction.
Do not treat one surface reading as the core temperature of an entire pallet.
Escalate if conditions are not met
The quality owner should decide whether to hold in suitable pre-cooling or segregate the lot.
Extra coolant is an option only when previously qualified for the product, container and route setup.
Record the decision
Log method, time, lot, decision owner and action taken.
Product condition and site procedure
Measurement position and device ID
Hold, segregate or dispatch decision
Reason and owner approval
Review the pre-cooling cause with quality and warehouse teams when the issue recurs.
Link the arrival reading of a dispatched lot to the same lot record.
