The first document for shared cold space is a layout and use plan: participant, product flow, allocated shelf or volume, access time, entry and exit records, and key or permission owner.

Check whether each participant's product requirements and packaging fit the actual capacity and monitoring arrangement. For incompatible flows, have quality owners assess physical partitioning, time separation, or use of closed identified containers.

For electricity and shared expenses, document meter or submeter, period, invoice source, and allocation formula. Without direct measurement, participants should agree on occupied area or another basis, fix it before billing, and define a dispute process.

Assign owners and backups for cleaning, maintenance, alarm or fault notification, product segregation, and exit from the arrangement. Product decisions remain within each participant's authorised process; review shared records and access boundaries periodically.
