Fuel-card and odometer records help review vehicle use; they do not by themselves show refrigeration-unit run time or its share of fuel.
Keep two records separate
Take vehicle, transaction date and purchased litres from the card, and distance from the odometer. Reconcile opening and closing tank levels before calculating consumption. Record unit hours from a separate meter.
Match like with like. Group vehicles with similar routes, loads and delivery patterns. Do not treat unreconciled fuel purchases as a consumption rate; note stops and operating conditions.
Investigate an outlying period
When consumption changes, review date, distance, route and maintenance records. Do not attribute the rise directly to refrigeration or driving.
Monthly table
Use separate columns for vehicle ID, fuel litres, distance, shipments, route type and unit hours if available. Compare equivalent periods.
Fuel-card data raises operational questions; dedicated unit measurement is needed to determine cooling consumption.
