Match the equipment identity, not just the part name, to avoid ordering the wrong gasket, castor or latch.

Record model and serial/product code, manufacturing revision if available, part location and a clear photo. For a worn part, include measurements or markings; do not assume a similar-looking item fits.

Ask the supplier to confirm the part number, compatibility with the exact model, stock or sourcing status, and fitting instructions in writing. Obtain approval for any substitute, since fit can affect closure, sealing or safe movement.

Build the initial spares list from failure records, use intensity, operational impact and observed replenishment times. Log replacement date, equipment identity and failure cause, then revise the list against actual consumption.

Put confirmed part numbers and quantities on the order. Do not make blanket assumptions about availability, dispatch timing or fit across standard models.
