If a service invoice lists only the refrigerant top-up charge, it is difficult to tell how much an asset has lost. Group every service record under the same asset ID and match the refrigerant amount to the work order.

Record asset ID, refrigerant type, service date, amount added and recovered, technician findings, repair, and follow-up recommendation. Pre-service and post-service amounts describe different operations, so do not treat them as interchangeable.

A repeat top-up on the same unit is a reason to investigate, but an annual leakage percentage cannot be calculated without the initial charge and service records. Qualified service staff should determine leak checks and repairs for the specific equipment.

Rank fleet units by service frequency, amount added, and repeat repairs to identify where inspection is needed. For environmental or legal reporting, separately use the emissions data required by the applicable method.
