A maintenance log supports decisions only when it records more than a fault and an invoice. Link the unit, operating conditions and work performed in the same entry.
Fields for every work order
Vehicle and unit ID, date, running hours, route or use type, symptom, diagnosis, replaced part, work performed and whether the fault recurred. If refrigerant was handled, retain the service record's measurements and reason as well.
In a monthly review, compare recurring symptoms by vehicle, route and running hours. If the same fault returns after limited use, ask the service provider for a root cause and follow-up measurement instead of automatically replacing the same part.
Mileage alone may not set the service interval; consider the manufacturer's schedule, running hours and operating conditions together. Compare authorised service advice with the manual for the specific unit model.
These records provide evidence for discussing repair, an operational change or backup capacity. For F-gas work, separately check the applicable regulations and recordkeeping requirements for authorised service.
