If you offer delivery as a separate service, define what the customer buys and its limits. State whether the delivery window, number of stops, record format, container return, waiting and failed-delivery rescheduling are included.

Build the cost calculation from your records: driver and vehicle time, fuel, route distance, equipment use, maintenance, cleaning, logger and empty returns. Choose a period supported by invoices, payroll, mileage and operating logs; show one-off and shared costs separately.

Explain order allocation, pricing assumptions, taxes and exclusions in the quote. Reassess when route, volume or service level changes. During a trial period, reconcile actual cost and documented service scope with the customer.
