Link each order to product lot, packing time, delivery method, route, receipt time and customer confirmation. Record actual waits and delivery conditions in initial trials; do not treat a channel as suitable if it cannot meet the product label’s storage instructions. For a complaint, segregate the lot, preserve handover and logger evidence if available, and refer the decision to the authorised quality or food-safety lead.

A small producer should choose delivery channels by label instructions, route and actual dwell conditions. Compare courier and hand delivery using records, not assumptions.

Trace from order to receipt

Link order number to product and lot, production or packing time, package type, dispatch, transfer and receipt times. Record recipient and product/package condition; file any logger report with the lot record.

For representative shipments, track packing method, ambient conditions, waits and actual delivery time. Confirm storage and transport instructions with the supplier or quality lead; one successful delivery does not prove ongoing suitability.

For a complaint or delay, segregate the affected lot and comparable shipments and preserve records. Decide customer response and product disposition with the authorised quality lead. Verify local sales and business requirements with the competent authority.
