Information for the broker should identify the product and transaction clearly; do not substitute a marketing name for a technical description. Keep code, material, function, dimensions and photos in one version-controlled file.
Reconcile quantities, item descriptions and package allocation on the invoice and packing list against the product file. State special context such as a sample, repair, return or temporary use at the outset and ask about its document implications.
Do not guess uncertain classification, origin or document fields. Answer broker questions with supporting records; retain the final file, response and name of the person who approved it.
