The technical file list depends on where and how the equipment will be used. At quotation stage, link each document to the model and purchasing question; do not treat a certificate name alone as sufficient evidence.
Dimensions and material file
Request a current drawing showing external and internal dimensions, door clearance and stacking arrangement if relevant. Assess shell, inner-surface and gasket materials against product and cleaning method; request food-contact documentation only where use and scope call for it.
Use and maintenance instructions. Verify washing, drying, inspection and part-replacement steps, including permitted tools and chemicals, in the manufacturer's instructions. File warranty statements with their scope, model and conditions.
Test and supplier records
If a performance claim affects the decision, request a report naming specimen model, method, conditions and result. Add file name, revision, date and supplier to the equipment record; put missing documents into the purchase specification before ordering.
