A port supply record should show each stage from vehicle dispatch to receipt aboard ship. Link every handoff to the same product lot.
Add lot, quantity, packaging, container ID, instrument and loading time to the dispatch form. Record vehicle and driver details, quay arrival and security check times.
If a container is opened, a reading taken or the load moved while waiting for inspection or clearance, record time, location and owner. A reading represents only the point and time measured by that instrument.
At ship handoff, record recipient, acceptance time, package condition and measurement result. Verify transfer of responsibility, required records and nonconforming product workflow against the contract and current ship procedure.
For missing records or damage, hold the lot traceably and preserve dispatch papers, raw measurement files and photos. Leave product disposition to the authorised quality process.
