How to fit equipment delivery into a seasonal plan

Plan back from the in-service date; track each delivery milestone against supplier confirmation and your own past records.

Short answer

Set the date the equipment must be ready on site. Obtain written production, shipment and delivery windows from the quotation, then add your own receipt, inspection and commissioning time. Record forecast-versus-actual differences from prior orders and make uncertainty visible in the stock decision.

Plan backwards from the in-service date rather than forwards from the order. Confirm the production start, ready and dispatch dates in the quotation along with transport and delivery terms.

Allow actual working time on your side for receipt, damage inspection, identification and preparation. Keep promised and actual dates from previous orders by milestone; do not treat one order's duration as a general rule.

If considering buffer stock or a partial shipment for a critical item, show use records, supplier confirmation and the operational effect of delay together. Clarify the price and feasibility of split delivery in the quotation.
