The effect of dock waiting on the product, vehicle, and contract varies with the site and transport conditions. Do not infer safe duration, shelf-life loss, or financial liability from one delay; complete an incident record.
For each delivery, record appointment time, site arrival, queue entry, dock arrival, and the start and end of receipt. Add whether vehicle refrigeration was running, door status, and any logger ID and readings.
Contact the depot receiving team as soon as a delay becomes likely. Confirm a revised receiving window and the equipment and conditions for holding the product. If these do not meet the product requirement, do not deliver it; consult the quality lead and record the decision.
Summarise recurring delays by date, appointment, actual receipt, and waiting duration. Review contract terms on waiting charges and responsibility alongside these operational records. Measure any change, such as appointment confirmation or loading order, in later records.
