If a fuel clause is tied only to tractor mileage, refrigeration-unit running costs and responsibility for waiting can remain unclear. The contract schedule should separate these items in a measurable, comparable way.
Define the index clause
Name the index and publishing body, reference date, adjustment frequency and calculation formula. State which cost share the index applies to. Use published data available to both parties rather than a price or change forecast.
Match unit costs to operating records. Keep refrigeration-unit running hours, fuel source, route and waiting time in separate fields. Record when waiting begins and ends, its cause and the responsible party. A mileage index does not replace these records.
Set verification and dispute steps
Agree which meter or telematics source supplies the data, when records are shared and which document is compared if figures are disputed. This keeps fuel changes separate from operation-related waiting charges.
