Production may be ready for a first export while handovers across the refrigerated shipment remain unclear. Close those gaps in writing with the parties and carrier before dispatch.

Divide the chain into stages

List factory preparation, vehicle loading, carrier handover, terminal wait and buyer acceptance separately. Name the responsible person or organization for each.

Define refrigeration arrangements. Specify approved product transport conditions, the power source at each wait point and how the service is arranged in the contract and operating schedule.

Records and notification. State what is measured at loading and delivery, who owns the device and record, who receives the document and when a deviation is reported.

Verify the trade term separately

Check that the selected Incoterms rule, edition and named place match the contract. Do not infer day-to-day refrigeration duties from risk or cost transfer alone.

Scale using trial evidence. Review actual first-trip times and records before updating the next plan. Set product and route limits with the product owner and qualified adviser, not by guesswork.
