Read the contract's delivery rule separately from the day-to-day operating plan for a refrigerated load. Do not treat cost or risk transfer as the same thing as supplying power and keeping records.

Name the rule and delivery place. Record the Incoterms rule, edition and named place exactly as stated in the contract. Verify those details against current ICC guidance and the contract text.

Operating responsibility schedule

For factory, carrier handover, terminal, customs wait and destination, state who provides refrigeration, the power source and the cost arrangement.

Measurement and evidence

Specify measurement location, device, time and who shares the record at loading and handover. Add the contact for deviations and the contractual process to follow.

Resolve gaps before dispatch

If risk transfer and the party running refrigeration differ, confirm responsibility during waits in writing. Have commercial and legal implications reviewed by a qualified adviser.
